Position Title: Administrative Assistant

Location: Toronto, ON, Canada

Hours of work: Monday to Friday, 9:00am to 4:30pm. PSI can be flexible in total hours worked.

Duration: One year contract with possibility of permanent, full-time offer

Responsibilities: As an Administrative Assistant, you would be responsible for maintaining smooth and efficient office operations. Administrative/Clerical support: Support grants funding program through activities such as Managing external peer review requests and tracking Processing peer reviews Managing grant payments, including following up with grantees and maintaining payment schedule Support Executive Director with meeting materials, including formatting material, completing contracts, creating PDF packages, sending surveys and invitations via SurveyMonkey and Evite. Maintain records/filing/granting database Support Board and Committee meetings, organize/set up meeting room and order catering Assist with Board and Finance meeting advanced material Arrange travel plans for staffs Assume other relevant responsibilities as assigned by the Executive Director Office maintenance: Maintain supplies and equipment by checking inventory, anticipating requirements, and placing orders Organize document management/storage system Light Reception: Handle general inquiries and redirects them to appropriate staff Intake/distribute mail Requirements: Post-secondary diploma or related experience One to three years of experience in an administrative role Experience working in a not-for-profit organization is an asset Excellent interpersonal communication skills (both written and oral) in the English language A quick learner with demonstrated efforts to continuously develop and upgrade skills A team player with experience in a small team environment Excellent organization, time management, and problem solving skills Good computer proficiency (Microsoft Office programs) Detail-oriented, work quickly and accurately, and be able to multi-task
